Q: What does it mean to reset a snapshot?
A: When a snapshot is reset, it deletes all current snapshots, and creates one that shows the client’s information at program entry. The information included in a snapshot is the client’s demographics, income, and household member information. It is important for the entry snapshot to be correct because it is the basis for reporting.
 
Q: When should a snapshot be reset?
A: A snapshot should be reset when:
A client’s demographic information, income, or number of family members was incorrectly entered or was missing at program enrollment.
On the client roster, a client’s family type does not match the total number of family members in the household.
A client is not showing up in a QPR report.
A family member who was never supposed to be enrolled in a program was removed from the household, but he or she still appears on reports.
The head of household was changed, but the change is not reflected in the reports (only for non-HPRP programs).
A client was supposed to be enrolled in a program with the rest of the family, but is not showing up on reports.
   
Q: What does it mean to add a new snapshot?
A: When a new snapshot is created, it gives an updated view of the information entered into the client’s record. Creating a new snapshot is used to show progress clients have made.
 
Q: When should a new snapshot be created?
A: A new snapshot should be created when:
A client’s demographic information, income, or number of family members has changed since program entry.
A baby is born in the family/a family member begins staying with a family that is already enrolled in a program.
The client’s housing status has changed since entering the program.
   
Q: What’s the difference between resetting a snapshot and creating a new snapshot?
A: When a snapshot is reset, all other snapshots are deleted, and the new snapshot becomes the program entry snapshot. When a snapshot is created, it does not delete any other snapshots, and it is used to show progress a client has made while in the program.
 
Q: What’s the difference between resetting a snapshot and deleting a snapshot?
A: Resetting a snapshot removes all other snapshot and replaces them with one snapshot, while deleting a snapshot erases the snapshot, and does not replace it with another snapshot.
 
Q: If you edit income or demographic information in a snapshot, will it also edit income information in quick intake?
A: Changing the information in a snapshot will not change the information in quick intake. All changes in client data should be made in quick intake. Once this is completed, the snapshot should be reset or a new snapshot should be created.
 
Q: How do you jump from the Demographics page to the Program Entry page with the same client?
A: On the demographics page, select the client from the household members list that you would like to take to the Program Entry page. Click on the Go to Entry button. To jump back to the Demographics page from the Program Entry page, click on the button in the upper right hand corner that has a picture of a person in it.
